SharePoint 2010 : Manage Tags and Notes

Your personal site has a page that allows you to review your tagged items and your notes. To switch to this page, open the My Profile page as explained earlier in this article (refer to Figure 3). In that page, click on the Tags and Notes tab (see Figure 1).

On the right side of the page you can see all the items for which you have set tags or notes. These are grouped by the month the tags or comments were created, and you can browse the months by using the arrow icons on the top of that list.

On the left side of the page is an option to filter the items to see only items that have tags, only items that have notes, only items that were tagged or noted as private, or only items that were tagged or noted as public. The left side shows a list of all the tag terms you have used, and you can click on a tag to filter the items on the right to display all the items that were tagged with that term (see Figure 2).

When you find an item that is tagged or noted, you can click on the link to the item to open the item, you can remove the note or the tag (by clicking the Delete link), and you can change whether the tag or note is supposed to be private or public. You can also click the View Related Activities link to edit the tags and notes board for that item.

Note

Although you can delete a note or a tag from a document, an item, or a page from your personal site, you cannot set one from here, nor can you edit a note from here. To edit a note you have entered on a document, an item, or a page, navigate to that document, item, or page, and then open the Tags and Notes tab as if you were going to add a new note. In that dialog you can edit the old note.


Add, Edit, and Remove Notes on the Notes Board

Notes are similar to your status, but unlike the status, which is supposed to be a short description of what you are doing, notes can be long. You can use notes to comment on documents, items, and pages—even on external sites.

The notes board is the place in your personal site where you can see all the notes you have written and from which you can easily create more notes that are not related to a specific item, file, or page.

To view the notes board, click on the My Profile link, and you see the notes board under the Overview tab. It includes a text box where you can create a new general note by just typing in the box and clicking the Post button to add a new general note. It also includes a list of all the notes you have created under it.

To delete a note, click the Delete link next to it. To edit a note, click the Edit link next to it.

Tip

Remember that everyone can see your notes.
